- responsible for maintaining office filing and recordkeeping systems; enters, edits, and retrieves data; processes form such as expenditure claims, employee time sheets, deposit forms, courier distribution logs, mandated cost reports, purchase requisitions and online supply orders; maintains databases, records, confidential files and other related information for department needs
- produce letters, memos, spreadsheets, and agendas from straight copy, rough draft, or oral instructions; completes forms, requisitions and other documents; submits print requests; prepares pamphlets, flyers, manuals, and handbooks; proofreads assignments for accuracy and completeness
- answer and route telephone calls; conveys information both orally and in writing; answers inquiries from staff, end users and other vendors regarding departmental rules, regulations, policies and procedures, schedules and coordinates meetings for Engineers and Manager provides materials and initiates requests for information when required
- coordinates and prepares for meetings and special events by assisting with registrations, payments and confirmation, arranging for refreshments and necessary equipment, duplicates, sorts and distributes various documents, prepare bulk mailings, maintains departmental calendars, coordinates and confirms conference room reservation schedules, sends, receives and distributes faxes and e-mail, sorts, distributes, and redirects mail; maintains inventory of office supplies and orders as necessary; operates standard office equipment
- review & maintain inventory of spare parts and consumables of Plant equipment
- prepare purchase request of spare parts & consumables and maintain their record
- maintain record of “Goods Receiving” documents
- prepare & record of “Release of Payment” document for spares & consumables
- prepare & record contract documents and follow up with concerned departments
- assist Manager Power Plant to prepare monthly utility bills
- carry out any other job as assigned by superiors
- Preferably qualified Graduate in any discipline preferably IT or Commerce.
- Experience: Should have minimum Experience of 4 years in manufacturing or service based organization.
- Should have familiarization with any asset maintenance management software.
- Technical Knowledge: Should be able to maintain contacts and calendars via Outlook.
- Ordering, stocking, and distributing office supplies, making photocopies, sending faxes, shredding documents.
- Planning and scheduling meetings and appointments.
- Organizing and maintaining paper and electronic files.
- Maintaining general office tidiness.
- Providing Direct administrative support to department Manager.
- Should have sound knowledge of Computer, IT related software.
- Good Communication skills.
