You will assist the supervisor in carrying out on-going administrative work of the department, which includes organizing and scheduling meetings, pre-award grants work, follow-ups with actions on meeting outcomes, preparation of official documents, organizing the records in soft and hard forms. Specific responsibilities include to:
plan and organize calendar for scheduling meetings and arrange logistics arrangements for meetings where required
organize, document, circulate and follow-up on progress discussed and actions marked in the admin meeting
organize and maintain original grant agreements in file with electronic back-ups
coordinate signatures and approvals as per department requirements and maintain strong liaison with various stakeholders internally and externally
prepare official memos, letters, certificates, emails and other word processing documents
assist the team in event planning and management which includes logistic arrangements, liaison with participants of events etc.Requirements:
You should have:
at least a Bachelors degree, preferably in Business Administration, Administrative Sciences or equivalent
at least one year of relevant work experience
good knowledge of administrative and ability to handle administrative tasks, including coordination with various departments and making logistical arrangements
good interpersonal skills, particularly communication skills
good command on various computer applications, particularly MS Office
ability to work effectively in teams as well as independently and meet stringent deadlines
willingness to travel to field sites.
This is a closed-ended position to be based in Karachi.
